Dealing with Out of Gauge Trains

I've created a new topic to avoid Google making a mess of translation, although I have noted Helmut has raised this point some time ago without any reply.

Looking for guidance on how to deal with these trains and the ZNP801.

For example if I offer 063501 to Oberhuasen HBF on Track 418 (A419) using ZNP801 it is accepted.

If I then phone to offer it as Out of Gauge I'm told it can't be accepted and I respond I will phone back.

I then cancel via ZNP801 and offer by Phone and it is accepted. As Helmut points out 63501 then appears in A419 and this doesn't drop out when the train passes.

Would I be penalised if I just offered via ZNP801? What is the correct process in practice and can this be simulated?

As an aside I was a bit disappointed that my Neighbours aren't adept at holding these trains. On another session I was sending a train to Duisburg-Wedau on Track 002 and this collided with an Out of Gauge train which had't yet entered my Control Area from Duisburg-Hochfeld Süd on Track 031. Should I have asked HD to hold his train?
